Being
administration manager I am responsible for all the material independent from
the architectural side. I am in charge of the day to day running of the
business from setting up meetings to collating all documentation relating to
certain products. Conducting interviews
to ordering stationary is my job and is carried out on site.
1.
At the start
of the business all documentation will be paper base. This includes all meeting
minutes, contracts, application etc. but by 2025, Cube Studios working closely
with the IT Manger, will have a fully function IT system in place where
information is stored and access by everyone within the practice. We see the
trend of files being stored/transferred online rather than physical copies.
This allows for information is be passed over to multiple people within the
firm.
2.
Cube Studios
believes in reflecting ourselves in the best possible manner and this is
reflected in polices we adhere to. In 2021 we will start out we will adhere to
two polices the Environmental Management and Business in the Community. We believe these two polices best
represent what our firm is about. We are a practice that is reacting to the
environment and building homes within a community. With out firms expanding we
wish to incorporate more polices into our firms ethos. Training policy and
quality assurance will be added. These two express our long term goals with the
expansion of technology training policies will to be incorporated.
3.
The
organisation of meeting both with clients and colleges is very important to how
we function as a firm. When we start out meetings will be conducted on a
face-to-face bases as Cube Studios values client interactions. When we begin we
will be a UK based company, but our future plans is to branch out globally, so
the way we conduct meetings too be very different. Skype will be a way of
commutation globally, but the meeting will all be saved and recorded with out
online data storing.
4.
When
Cube Studios advertise a new job and when interviews take place, I am in charge
of setting it all up. When a CV is sent in I’m in charge of the process till
the interview stage. At first we will set up like a traditional business of
when a CV is sent in they will be called in for an interview. When we grow and
get bigger the interview process will involve a copy of a portfolio.
5.
Training
when the business starts will be a one-week slot. But our plan with the
induction of the training policy towards the end of the 5 years, training will
still be a week-long but happen twice a year. Training will be scheduled so not
more than one person will be away from the firm at one time.
6.
Maintaining
quality is one of Cube Studios main goals. By implementing quality assurance
throughout the whole practice making sure documentation is thoroughly checked. This
avoids
problems when delivering solutions/ services to our customers. We also carry
out validation and verification checks on the work, this is the
process of checking that a software system meets specifications and that it fulfils
its intended purpose. The admin team will initially carry out these checks but
as the team grows, the work will also be checked over by an independent person
with no ties to the firm. This allows for the documentation to be thoroughly
checked.
